EFT Processing helps put Canada Games in the fast lane

Canada Games brings together more than 2,000 athletes for the largest amateur multi-sport event in the country. Alternating between winter and summer, they span over 30 different sports to showcase the very best in Canadian sport and spirit. The Games have been hosted in every province since their inception in 1967, creating a lasting legacy of sporting facilities, community pride, and national unity.

The Games are held under the stewardship of the Canada Games Council (CGC), a private, non-profit organization. As the Games move from one host city to the next, the Council provides continuity, leadership, and support to Host Societies.

The Challenge

Historically, each Host Society would create a unique accounting setup based on their projected needs. By the time they recognized what they could have improved, the project was finished, and planning by the next Host Society was well underway, making it hard to benefit from the experience of past hosts. That process repeated itself Games after Games.

The Solution

As the CGC prepared to help the 2023 Host Society, their accounting software partner Sage proposed they migrate to Sage Intacct. On Sage’s recommendation, solution provider Vision33 was appointed as a multi-game partner to oversee the implementation. Vision33 set out to fulfill CGC’s vision for a reusable, turnkey accounting solution. This included recommending selected 3rd party add-ons that could add value to the core Sage Intacct core modules.

The Result

Orchid’s EFT Processing module is part of a simplified ‘plug and play’ financial management solution for Canada Games, as explained in this Vision33 success story. This has provided a solid foundation for future Host Societies, allowing them to focus on more strategic matters.

Previously, each time the Games finance team did an Accounts Payable run, they had to re-key each payment, line by line, into their banking software. This duplication, together with the inherent risk of human error and related reconciliation issues, consumed a lot of time.

That all changed with the implementation of EFT Processing, according to Kerri-Lynn Morry, Finance Manager at Canada Games:  

Now we just generate the EFT payment file directly from Sage Intacct, in the format required by our bank, and upload it. It’s so easy, and reconciles perfectly every time. We can do a full AP run, including approvals and reconciliation, in 20 minutes or less.

Kerri-Lynn was also excited to learn that Orchid’s EFT Processing for Sage Intacct now supports Employee Expenses Reimbursements, which is currently a very manual, laborious task. She can’t wait to implement this, and has no doubt it will make their lives even easier as staff numbers increase in the lead-up to the next Games.
